Data Privacy (GDPR)
We follow the privacy regulations and must process all personal data in a legal and secure manner.

Personal information is all information or assessments that can be linked to individuals. Common personal data in schools can be, for example:
- contact details about you and your parents, such as name, address and email address
- information about which school and grade you belong to
- results of surveys and assessments, such as character and order/behaviour
- school assignments/student work
- sound recording, image and video
- communication between school and home
- invoice information if the child attends after-school care
We collect and process personal data that is necessary to carry out our statutory tasks.
In school, this means, for example, conducting training, communicating with the student's parents and guardians, after-school care and other tasks.
It varies which personal data about you we need to use. Here are some examples:
- In Vigilo, we have contact information about you and your parents, your grades, absences and messages sent between the teacher and your parents.
- When you start school at Askøy, you get a digital user account based on your name.
- In your student folder there may be information about social and/or health conditions.
- When you use your computer at school, you leave traces behind. In order to control the security of our computer systems, we collect and store login information and web traffic for a short period of time.
The information about you comes from several places. The information about name, address, e-mail address, telephone number and family comes from Folkeregisteret og The contact and reservation register. Everyone who lives in Norway is registered there.
In school work and assessments, it is you and/or the teachers who enter personal data.
In Norway, we have laws that state exactly what rules we have for organizing children's upbringing. The most important are the Kindergarten Act, the Education Act and the Administration Act, but there are many more. In order for us to comply with these laws, we need to have some computer systems. The information about you can be found in these systems.
If there is no legal rule stating whether we can process information about you, we will sometimes ask for consent from you or your parents. For example, it may be that we ask for consent to take pictures or video of you at school. It is completely voluntary to say yes. Most often, it is your parents who are asked to give consent on your behalf, and sometimes together with you. Your opinion is important anyway, and we recommend that you talk to your parents or your school about what you think and mean - for example whether you want/don't want pictures to be taken of you at school. If you wonder why we process personal data in a specific case or in a digital resource, you can contact your school and/or our post office: postmottak@askoy.kommune.no (remember that the inquiry can be read by several people, so avoid writing sensitive information).
We only have your personal data for as long as necessary.
When you leave the school, we ensure that personal data that has been stored, but is not to be archived, is deleted. For example, we deactivate your user account when you leave school. After four months, we delete it. The background for this is partly the desire to be able to give students who leave in the middle of the year the opportunity to access their own data if they return, and partly any documentation needs shortly after you have left.
Another example is your student folder. We will take care of it. The reason is that we need to be able to document your schooling.
If you are wondering what we know about you in all our systems, you can ask us to collect all the information we have about you and send it to you. Your parents may also have the right to request access to personal data about you.
If you or your parents want access, you can send an e-mail to postmottak@askoy.kommune.no (remember that the email can be read by several people, so avoid writing sensitive information/things you don't want others to read). Feel free to say what you want access to, for example Vigilo or Google Workspace.
You can also log in to Feide and get access to all the information contained in your digital user account. Then you will see the information immediately.
You can view and retrieve most of your schoolwork and assessments on your own Chromebook. You can request other assessments from your teacher.
When you leave school, we recommend that you take out everything you want to keep.
If the information we have about you is incorrect, you can contact your school to have it corrected.
In some cases, you can request that we delete or stop using personal data about you (the right to object). You can also request that we use your personal data less (the right to request restriction). If you would like to request this or have other questions, please contact your school or our post office. Preferably, say why you want to use one of your rights and what information about you it is about. In order to provide you with the teaching and daily school life you are entitled to, we must process some information about you. We will nevertheless assess whether your reasons for not wanting us to do so mean that we can refrain from processing the information.

Examples of systems where we collect/process personal data
Pupil: Birth number, first name, last name, address, parental responsibility, mother tongue, nationality, school affiliation, class, timetable, grades, order/behaviour, absences, diplomas, processing of ordinary and special information, invoice information (SFO), SFO affiliation, school/home communication, what parents have agreed to.
Parents: Birth number, name, address, telephone, e-mail address, relationship to children, possibly information about payment moderation (SFO).

Personal information from Feide, student worker, student/teacher communication, assessments, results and video communication.
Employees: Birth number (synchronisation key), first name, last name, telephone, e-mail address, school affiliation.
Pupil: Birth number (synchronisation key), first name, last name, e-mail address, school affiliation.
Class well-being is a digital, educational tool developed to be able to carry out well-being surveys in schools. It can provide the teacher with important knowledge that should be followed up in student interviews and development interviews. Examination is only a supplement to conversation and personal contact with the students. Personal data that is processed is first name, surname, school, class.
Conexus Engage obtains information from the Directorate of Education about national tests and mapping tests. Conexus is a Feide service. The student's first name, surname, school, class and results are processed here.
Pupil: First name, last name, e-mail address, gender, date of birth, school and class, eye movement recording, audio recording, reading mapping result, teacher's comment about the student after reading mapping, which pages and books the student has read, what the student thinks about the books, answers to quiz about books, which reading friends the student has.
Employees: Name, telephone number, e-mail address, log of users, communication log and other notes.
We often use logins from Google or Feide (Common Electronic Identity) to access various digital teaching aids and tools. The personal data that is then often processed is first name, last name, email address, organisation, organizational unit (the school) and student production (the student's work in the teaching aid/tool).
